Deposits & Payments

• A non-refundable deposit of USD $250 is required to secure your spot.
• Full balance must be paid before departure.
• Flexible installment plans are available through WeTravel.
• Late Payment Fee: Payments not received by the deadline will incur a USD $350 late fee.

Cancellations & Refunds

• Deposits are non-refundable and non-transferable under any circumstance.
• Partial refunds may be issued depending on the timing of cancellation.
• All refunds are subject to deduction of any fees or costs incurred for the trip up to the date of cancellation. By booking, travelers authorize Happistart to deduct these amounts from monies already paid.
• Refunds, if applicable, will be processed within 30 days.

Changes After Booking

• Changes to flights, rooming, or additional requirements made within 20 days of departure or during the trip will incur a USD $250 change fee.

Traveler Responsibility

• Travelers must hold a valid passport, required visas, and comply with all entry regulations.
• Travelers must arrive on time for flights, transfers, and activities. The group itinerary will not pause or delay for missed flights or late arrivals.
• Personal expenses, meals not listed, and optional add-ons are the responsibility of the traveler.

Insurance

• The package includes travel insurance coverage up to USD $30.
• Travelers requiring coverage that exceeds this limit will be billed separately for the difference.
• Comprehensive insurance is strongly recommended for all participants.

Rooming Policy

• Standard booking is double occupancy.
• Solo travelers will be paired with a roommate of the same gender unless a single supplement is purchased.

Flexibility & Substitutions

• Itinerary and accommodations are subject to change due to operational needs, airline schedules, or unforeseen circumstances.
• Equivalent alternatives will be provided if substitutions are required.

• Any changes must be confirmed before ticketing to avoid additional airline penalties.

Self-Booked Flights

• Travelers may opt to book their own flights. In this case, Happistart will coordinate airport transfers only if arrival and departure times align with the main group schedule.
• If arrival/departure times differ, travelers are responsible for any additional transfer costs.

Baggage Policy

• Standard allowance includes 1 personal item and 1 carry-on bag per traveler.
• Checked baggage is not automatically included on all routes. The cost for a first 23kg checked bag ranges between USD $30–250, depending on the airline and route.
• Travelers are responsible for paying for any additional baggage directly with the airline.

Timeline for Flight Details

• Flight itineraries will be shared 6 months before travel so travelers can plan ahead.
• Final confirmations and e-tickets will be uploaded 30 days before departure to the Happistart client portal for easy access.
